This notice explains how Via Alignment collects, uses, shares, and protects personal information when you visit the website, request a resource, contact us, book a call, or work with us.

2. Scope of this notice

This notice applies to personal information processed through the Via Alignment website, contact forms, the Clarity Reset resource, appointment scheduling, email communications, and client or organizational inquiries.

Additional terms may apply when someone becomes a client. If a client agreement contains more specific privacy or confidentiality terms, those terms will also apply.

3. Personal information we collect

Depending on how you interact with Via Alignment, we may collect:

  • Identity and contact information, such as your name and email address.
  • Professional information, such as your role, organization, and areas of interest.
  • Inquiry information, including questions, messages, referral source, and information you choose to provide.
  • Resource and marketing preferences, including whether you requested the Clarity Reset and your choices about receiving marketing emails.
  • Appointment information, such as your selected time, time zone, contact details, and information provided through Google Calendar appointment scheduling.
  • Technical information, which may include your IP address, browser, device, referring page, security logs, and cookie or similar technology data.
  • Client and transaction information, where applicable, such as contracts, invoices, payment status, service history, and professional correspondence.

Please do not submit sensitive information

Website forms are not intended for health information, government identification numbers, financial account credentials, or other highly sensitive personal information. Please do not include sensitive or confidential information unless Via Alignment has specifically requested it through an appropriate secure channel.

4. How and why we use personal information

Where applicable, this Privacy Notice is intended to address requirements under Texas privacy law, including the Texas Data Privacy and Security Act, and under the EU/UK GDPR for visitors or clients located in the European Economic Area or the United Kingdom.

5. Email marketing and your choices

When you sign up to receive the Clarity Reset, you may also receive occasional marketing emails from Via Alignment (insights, resources, and updates). This is made clear at the point of sign-up on our website. You can unsubscribe at any time using the link in any email or by contacting fabiana at viaalignment dot com.

Withdrawing consent does not affect processing that occurred before withdrawal, and it does not stop necessary service or transactional communications.

We use Kit (Kit.com, formerly ConvertKit) to manage our email list and send these communications.

6. How personal information is shared

Via Alignment may share personal information only as reasonably necessary with service providers that support the website and business, professional advisers, and authorities where disclosure is legally required.

  • Google Calendar and Google Meet for appointment scheduling and video meetings.
  • Netlify, for website hosting and content delivery, and Squarespace, our domain registrar for viaalignment.com.
  • Netlify Forms, which processes contact-form submissions.
  • Kit (Kit.com), for our email list, CRM, and automation.
  • IT, security, legal, accounting, and other professional advisers where necessary.

Via Alignment does not currently use analytics or advertising providers, and does not process payments on the website; any invoicing or payments are handled separately.

Via Alignment does not sell personal information and does not share it for targeted advertising.

7. International data transfers

Via Alignment is based in the United States, and our website and service providers may process and store personal information in the United States and other countries where they operate.

If you are located in the European Economic Area or the United Kingdom, this may involve transferring your personal information outside your country of residence. Where required, we rely on appropriate safeguards, such as provider data processing agreements and Standard Contractual Clauses, or other lawful transfer mechanisms.

8. How long information is retained

Via Alignment will retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security, and dispute-resolution needs.

General inquiries and unconverted prospects We generally retain inquiry and contact form information for up to 24 months after our last contact with you, unless we need to keep it longer for legal, business, or dispute-resolution purposes.
Clarity Reset delivery records If you subscribe to receive resources, updates, or email communications, we keep your subscription information while you remain subscribed. We may retain related delivery, consent, and engagement records for up to 24 months, unless a longer period is needed to comply with law, resolve disputes, or maintain accurate records.
Marketing subscriber and consent records Marketing contact information is kept until you unsubscribe or ask us to stop contacting you. We may retain limited opt-out or suppression records indefinitely so we can honor your request not to receive future marketing communications.
Client, contract, payment, and tax records Client records are generally retained for up to 7 years after the engagement ends, where needed for tax, accounting, legal, contract, business administration, dispute-resolution, or recordkeeping purposes.
Appointment, security, and technical logs Technical data, such as website logs, security records, and system data, is retained according to our service providers’ default settings and our operational needs. These records are typically retained for a short period unless needed for security, troubleshooting, legal, or business purposes.

9. Cookies, analytics, and embedded services

We do not currently use analytics, advertising cookies, or tracking cookies on our website. Because of this, we do not currently display a full cookie consent banner.

Our Clarity Reset sign-up form is provided by Kit (our email and marketing platform). When you scroll to the sign-up section, the form loads and Kit — together with the spam-protection service it uses — may set third-party cookies or similar technologies. The form only loads when you reach that part of the page.

Our Google Calendar booking embed may use third-party cookies or similar technologies provided by Google. To reduce unnecessary loading, the booking embed is lazy-loaded and is intended to load only when needed. You can also contact us directly if you prefer not to use the embedded booking tool.

Our hosting and security providers may use strictly necessary technologies to operate, secure, and deliver the website.

10. Your privacy rights

Depending on where you live and subject to applicable exceptions, you may have the right to:

  • Request access to or a copy of your personal information.
  • Request correction or deletion.
  • Restrict or object to certain processing.
  • Request portability of information you provided.
  • Withdraw consent at any time where processing relies on consent.
  • Opt out of marketing communications.
  • Appeal certain privacy-request decisions where applicable.
  • Lodge a complaint with a competent data protection authority.

We will respond within the timeframe required by applicable law. For Texas residents, this is generally within 45 days, unless an extension is permitted. For individuals in the European Economic Area or the United Kingdom, this is generally within one month, unless an extension is permitted.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.

Our website uses HTTPS/TLS encryption in transit, and we rely on reputable managed service providers, including Netlify, Kit, and Google, to support website hosting, email delivery, scheduling, and business operations. Access to relevant accounts is limited to the business owner and protected with multi-factor authentication where available.

However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

12. Children and automated decisions

The website and services are intended for adults and are not directed to children under 16.

Via Alignment does not use solely automated decision-making or profiling that produces legal or similarly significant effects.

13. Changes to this notice

Via Alignment may update this Privacy Notice when practices, service providers, or legal requirements change. The current version will be posted on this page with an updated effective date. Material changes may be communicated through an additional notice where appropriate.
